Terms and Conditions - the seeing brain
1. Introduction
By accessing services from the seeing brain, you agree to the following Terms and Conditions.
These terms outline your rights and responsibilities and the conditions under which we deliver mobile and virtual (telehealth) orthoptic services and share information on our website.
2. Nature of Service
the seeing brain provides mobile and virtual (telehealth) orthoptic services, offering specialised assessment and non-surgical management of vision and eye movement disorders.
Mobile services are delivered in home settings, schools, aged care facilities, disability services, or other agreed locations. Telehealth services are delivered via secure video or phone platforms and are available Australia-wide, where clinically appropriate. Services include functional vision assessment, education, and tailored support for children and adults with disability and/or neurological conditions, including a particular focus on Cerebral Visual Impairment (CVI) and low vision.
Services are provided by Krish Zlotin, a qualified orthoptist registered with the Australian Orthoptic Board (Registration No. 0822 22/17/V 25) and a member of Orthoptics Australia (Member ID: 2480).
3. Eligibility and Referrals

A referral from a GP, optometrist, or ophthalmologist is preferred but not always required.

For some neurological conditions, reports from an ophthalmologist, neurologist, or other relevant specialist may be required prior to functional vision assessment.

Services may be available under Medicare, DVA, NDIS, or private arrangements, depending on eligibility.

Clients must disclose any known medical conditions, behavioural considerations, or mobility issues that may impact service delivery or safety.
4. Appointments and Access

Appointments can be made via phone or email. Confirmation will be provided once scheduled.

A parent, guardian, or responsible adult must be present during appointments involving children or dependent adults.

For mobile visits, if the orthoptist is unable to safely access the premises, the appointment may be cancelled or rescheduled.

Pets must be secured during in-person visits to ensure safety and minimise distraction.

For telehealth appointments, clients are responsible for ensuring access to a suitable device, stable internet connection, and a private environment.
5. Cancellations and Late Notice

A minimum of 48 hours’ notice is required to cancel or reschedule an appointment.

Late cancellations may incur a cancellation fee.

Cancellation fees will not be charged where appointments are missed or cancelled at short notice due to illness or medical emergencies affecting the client or an immediate family member.

Missed appointments (no-shows) may be charged at the full service fee.
6. Fees and Payment

Fees will be outlined at the time of booking.

Payment is due within 14 days, unless otherwise agreed.

Accepted payment methods include bank transfer, PayID, and NDIS plan-managed arrangements.

Where services are funded (e.g. NDIS or DVA), any gap or co-payment remains the client’s responsibility unless otherwise agreed.
7. Privacy and Confidentiality
the seeing brain complies with the Privacy Act 1988 (Cth) and relevant Queensland legislation. Personal and health information is collected, stored, and used securely.

8. Health and Safety Requirements

Infection control and safety protocols are followed at all times.

Please notify us if anyone in the household is unwell so appointments can be safely rescheduled.

Services may be declined or discontinued if the environment is unsafe or unhygienic.

For telehealth services, suitability and safety considerations will be discussed prior to the appointment.
9. Scope of Practice
Orthoptists are allied health professionals who provide:

Functional vision and visual function assessment

Ocular motility and binocular vision assessment

Vision therapy and non-surgical management

Support for neurological and developmental visual conditions

Education and counselling related to vision and low vision
Telehealth Services

Telehealth services may not be suitable for all assessments or interventions.

the seeing brain reserves the right to recommend in-person assessment where clinically indicated.

Telehealth sessions rely on client participation and environmental setup, which may affect assessment outcomes.
10. NDIS Participants

Detailed invoices are provided for self-managed and plan-managed NDIS participants.

Services (including telehealth) must be approved, relevant, and within the scope of the participant’s NDIS plan.
11. Reports and Communication

Reports may be shared with referring professionals, schools, or case managers with client consent.

Requests for detailed reports (e.g. NDIS reviews, court documentation) may incur an additional fee.
